Most "WhatsApp CRMs" in India are not CRMs
This is the single most useful thing to understand before you spend money in this category.
A large share of products marketed as "WhatsApp CRM" in India are broadcast tools: upload a list, send a templated campaign, view delivery and read rates, handle replies in a shared team inbox. That is a genuinely useful product — and if that is all you need, buy one.
But it is not a CRM. The test is simple:
Can it tell you, right now, which 12 people you must follow up with tomorrow, who owns each one, and what stage they are at?
A broadcast tool cannot answer that. It knows messages and contacts. It does not know pipeline. And for most Indian businesses the money is not lost in sending — it is lost in the gap between the third and fifth follow-up, which is precisely what a broadcast tool has no opinion about.
Broadcast tool vs CRM: the actual difference

Both are legitimate. Choose based on whether your problem is reach or follow-through. If you send 5,000 offers a month and rarely chase individuals, buy reach. If you get 150 enquiries and lose half of them to silence, buy follow-through.
What WhatsApp Business API actually costs in India
Be careful here, because this is where pricing pages get vague.
There are two independent costs:
1. Meta's per-conversation charges. Meta bills by conversation category — marketing, utility, authentication and service — with rates varying by country. Meta has revised this pricing model more than once, including moving toward per-message pricing for certain categories, so treat any specific rate you read in an article (including this one) as something to verify on Meta's current developer pricing documentation rather than as a fixed number.
2. Your platform subscription. What the CRM or BSP charges you for the software. Some providers pass Meta's rates through at cost; others apply a markup on every conversation. Ask directly: "do you mark up Meta's per-conversation pricing?" The answer materially changes your monthly bill at volume, and it is rarely stated on the pricing page.
There is no such thing as genuinely unlimited free WhatsApp API messaging. If a provider implies otherwise, they are either absorbing the cost temporarily, restricting you in ways not yet visible, or not using the official API.
The compliance rules that get numbers banned
Worth knowing before you plan a campaign, because a banned number is an expensive lesson:
- Opt-in is required for marketing messages. Purchased lists are a fast route to trouble.
- The 24-hour window. Once a customer messages you, you can reply freely for 24 hours. Outside that window, business-initiated messages must use pre-approved templates.
- Template approval is per WABA (WhatsApp Business Account) and takes time. Plan templates before a campaign, not during.
- Quality rating. Blocks and reports degrade your rating, which can restrict your messaging limits or get the number disabled.
The practical version: message people who contacted you, use approved templates for anything outside the 24-hour window, and never buy a list.
Do you need the API at all?
Honest answer: many small businesses do not.
The free WhatsApp Business app is enough if: one person handles messages, on one phone, at manageable volume, and you are fine with the record living in that phone.
You need the API when: several people need the same number, you want conversations logged against CRM records automatically, you need templated messaging at scale, or you want AI agents replying. Note that the API has no chat interface of its own — you access it through a CRM or BSP, which is why this category exists.
Choosing a WhatsApp CRM in India
Ask these six questions:
- Is this a CRM or a broadcast tool? Apply the "who do I follow up with tomorrow" test.
- Do you mark up Meta's conversation pricing?
- Is pricing per seat or flat? Per-seat pricing discourages putting your whole team on the shared number.
- Whose WhatsApp Business Account is it? You want the WABA and phone number to belong to you, so you can leave without losing your number and template history.
- What happens to history when staff leave? Conversations on a personal phone walk out with the employee.
- Does it capture leads from anywhere else? WhatsApp is one channel. Meta ads, web forms and walk-ins matter too.

- Connect WhatsApp once the process exists. Messaging on top of a working pipeline compounds; messaging without one is noise.
- Get two or three templates approved early — a follow-up nudge, an appointment reminder, a reactivation message.
- Let AI handle the repetitive layer. FAQ answering and follow-up chasing are the highest-volume, lowest-judgment tasks in the inbox.
- Measure replies to conversions, not broadcasts sent. Sent volume is a vanity metric.
