Pune's problem is variety, not volume
Most coaching markets have one dominant motion. Pune has four running simultaneously, and that is what breaks the systems institutes usually build.
Around Deccan and Sadashiv Peth there is a dense MPSC and competitive-exam ecosystem. Kothrud, Karve Nagar and Wakad carry JEE and NEET batches. There is a substantial CA and CS coaching segment. And with a large university and student-migrant population, a meaningful share of enquiries come from students who moved to Pune for education and have no parent in the room at all.
Those four groups do not share a calendar, a decision-maker, or a follow-up rhythm:
- JEE/NEET — parent decides, clusters around the school session, decision in weeks.
- MPSC — the aspirant decides alone, timed to notifications and results, decision window months.
- CA/CS — timed to attempt cycles and exam results.
- University students — decide for themselves, price-sensitive, often mid-session.
Run all four through one undifferentiated enquiry list and you will apply a two-week JEE follow-up cadence to an MPSC aspirant who was always going to decide in September. You will record them as "not interested" and never call again.
What Pune institutes need from a CRM
- Stream tagging as a first-class field, not a note. Everything else depends on it.
- Follow-up horizons that vary by stream — days for entrance admissions, weeks for competitive exams.
- Branch or locality tagging if you run more than one centre.
- Every enquiry captured — walk-in, call, WhatsApp, web form, Meta and Instagram ads.
- WhatsApp on the lead record. Adult aspirants in particular will only ever message; they will not answer an unknown number.
- Source tracking measured against admissions, not enquiry counts.
The self-deciding student changes your script
Worth calling out because it is unusual in the Indian coaching market.
When the student is an adult deciding alone, there is no parent to persuade and no family conference to wait for. The objection is almost always fee structure, batch timing against a job or college schedule, and whether they will be able to keep up.
Two things follow. First, instalment options and batch flexibility do more work than faculty credentials in these conversations. Second, these enquiries arrive at odd hours and expect a reply on WhatsApp rather than a phone call — a missed call at 11pm is simply not returned.
This is the segment where an AI agent answering routine fee and batch questions overnight has the clearest payoff, because the alternative is that the enquiry cools before anyone reaches a desk.
What the leak is worth
Assume 150 enquiries a month across streams at 18% conversion — around 27 admissions. First audits at institutes this size typically find 30-40% of enquiries received no second contact attempt.
At a ₹50,000 average package, recovering five of those over a year is ₹2.5 lakh. The CRM costs ₹9,999-11,988 a year. The return is not marginal, and it comes almost entirely from leads that were never told no — they were simply never asked again.

Salesvora
Handles the multi-stream problem directly: tag each enquiry by stream and branch, rename pipeline stages to match your process, assign counsellors, and set follow-up dates at whatever horizon that stream requires. WhatsApp lives on the lead record, Meta ad leads arrive automatically, and web forms capture website enquiries without retyping.
On Max, six AI agents cover qualification, FAQ answering, follow-up chasing and appointment booking — which is what keeps the late-night, self-deciding student segment from going cold. Max also covers up to 15 members on one flat price, which generally spans two or three Pune branches without per-seat costs climbing.
Free for one user (50 leads/month, 150 lifetime). Pro ₹499/month up to 3 members. Max ₹999/month up to 15. About 10 minutes to set up, no contract.
LeadSquared and Meritto
Correct choices at genuine chain scale — lead distribution rules, telephony, enterprise reporting, guided implementation. Both come with onboarding projects and annual commitments that a two-branch Pune institute will find disproportionate.
Zoho CRM
Deep and well-priced per feature, but B2B-shaped by default. Expect one to three days of configuration, plus per-user pricing that rises with every counsellor.
Rolling it out
- Week 1 — today's enquiries, one counsellor, one stream. Prove it on your busiest stream first.
- Week 2 — all counsellors and all streams, with stream tags mandatory from day one.
- Week 3 — daily follow-up lists, cleared every morning.
- Week 4 — review conversion by stream and by source, then move spend accordingly.
By week four you should be able to answer a question most institutes cannot: which stream and which source actually produce admissions, rather than enquiries.
